EFO Art Fair - Notes for Exhibitors
EFO Members and Guests Selling Art and Crafts at Affordable Prices

Planned for Sunday November 16th 2008 Open to the public 10:30 - 4:00

Following on from the success of the 2007 East Finchley Open House exhibition (at which over 2,000 people visited our exhibitions) and last years Art Fair (where 900 people came on the day), EFO is organising another Art Fair @ Martin Primary School.

There will be 36 (TBC) vendor stalls available at the School for Sunday 16th November, along with a number of display/hanging screens.

If you would like to exhibit at the Art Fair these terms and conditions are for you:

  • Stalls - Each Stall will be a table approx. 6ftx3ft plus two chairs, located in and adjacent to the junior and infant halls in Martin Primary School. There are 36 tables available. Hanging space can also be hired for 2D work.

  • EFO publicity commitment - EFO will produce and distribute publicity information on the event to local shops, community locations and press. EFO will also advertise the event and the stall-holders' information on the EFO web site. EFO will not publicise on behalf individual vendors. EFO will publicise sponsors' names where appropriate.

  • Members fee & guest fee (TBC) - Members of the EFO will be able to take a stall for the duration of the event for £30 (and £10 for additional tables). Non-members (guests) will be charged £40 (and £15 per additional table). Screens will be available for a nominal amount to cover hire and transport costs. No other charges will be made by EFO. Guests from East Finchley can become members and would immediately be entitled to the Members' rate. All fees (including Membership fees) must be paid in full before 11th November to secure the stall. Cheques should be made payable to "East Finchley Open". EFO will also make donations to local good causes from the proceeds.

  • Entrance donation (TBC) - As last year, visitors will be asked to make a voluntary donation at the entrance to the event (suggested donation £1 per adult). This will entitle them to enter a prize draw to win one of three artworks by EFO Members. A significant amount of money from these donations will go to a local good cause, some will go to pay for the draw prizes, and any remaining donated money will go to the EFO to help cover the costs of the event.

  • If the EFO have to cancel the event, we will notify you as soon as we can. You will get back your entry fee as full and final refund, no other consequential costs will be considered. Cancellation by you before 11th November incur 50% charge; cancellation by you thereafter incur 75% charge; no-show on the day incurs 100% charge.

  • Allocation of stalls - Stalls and specific stall locations will be allocated on a "first come first served" basis before the event by the EFO Art Fair sub-committee. A stall allocation layout will be available on the event date but not before. Al list of stalls and who is on them is made available to members of the public at the entrance on the day.

  • Sharing stalls & "responsible vendors" - Vendors can share a stall with another Member or Guest. The person booking the stall becomes the "responsible vendor", will pay the fee and will be the point of contact for the EFO. All terms and conditions apply whether the stall is shared or not and should be met by any person involved with the stall at any time.

  • Setup and take down - Vendors will have access to their stall for an hour and a half before the event starts and for an hour after the event closes - they will be expected to set up their stall and take all their property from the site within these times. If there is a problem with complying with these times, the vendor must state this when booking the stall and may not be accepted as a result. Vendors should book in at the entrance to the School immediately on arrival, where they will receive their stall allocation. All work etc. must be cleared from the venue within an hour of the end of the event.

  • Safety, insurance & liability - It is the individual vendor's responsibility to ensure the contents of their stall, their property and any people working on it are safe and secure for the duration of the event. EFO take out public liability insurance which only covers our organising of the event. We will not be liable for vendor public liability. We will not take out any cover for vendors' work, personal items, equipment or monies.

  • Site security - The School is secured at night. However, neither EFO or the School will be liable for loss or damage to vendor works, personal items, equipment or monies etc. however caused.

  • What can be sold - EFO Art Fair is intended as a showcase of new original art and craft work and activity in East Finchley. The standard of art and craft works in previous shows has been very good. Stalls can also be used for advertising art and craft services, for example art and craft supplies, framing, teaching. Vendor works and services not in the spirit of this event may be removed on the day at the absolute discretion of the EFO committee or their representative at the venue. Specifically, we would not want to see stands showing mainly bric-a-brac, second hand goods, antiques, books, alternative therapies, foodstuffs, animals or household goods.

  • Exhibitor parking - The School has good parking space available in the car park at the end of Plane Tree Walk. This is intended for visitor parking for the duration of the event, but can be used by vendors during set up and take down. The car park will be unattended. Vehicles and their contents are left there entirely at the drivers' own risk.

  • Access - There is wheelchair access to the School and the event and disabled toilets close to where the stalls are in the first hall.

  • Facilities, lighting & power - EFO are providing the lighting in the venue "as is". Some stalls may have electrical points nearby - please let us know if you need an electrical point. Any additional lighting (or any specific power or water requirements) should be requested at the time of booking. We will use best endeavours to provide them, but we do not guarantee all requests can be met. EFO may provide background music for the event. Stalls should not use their own audio equipment.

  • Vendors requiring hanging space for 2D work can hire a free-standing screen approx 4ft wide and 8ft high. Screens hired without tables may be located in a "mini gallery" or in a corridoor joining the two halls. Screens hired with a table can be positioned near to a vendor's table in the halls. Clothing racks or rails will not be provided, so if they are needed, vendors should bring their own. Racks and rails (or other obstructions) will not be allowed in the corridoor. Vendors should not hang or attach anything to adjacent walls or fixtures without prior permission from the organisers.

  • Refreshments - EFO is making available light refreshments and food throughout the event. Vendors can get a tea and coffee for themselves on production of their stall receipt. All other food and drink will be sold by EFO as part of the fund-raising for the local good causes.

  • Any disputes about these terms and conditions will be settled through discussion with the EFO committee or their representative at the venue, whose decisions will be final. The EFO reserves the right to refuse admission or remove people and materials from the premises if these terms and conditions are not met at any time.

EFO will make the venue available and advertise locally but your costs and sales are your responsibility: we do not guarantee any sales, and we will not be liable if a vendor makes less money from the event than they hoped or expected.
